Administration Manager

CAREER OBJECTIVE

To perform complex administrative supporting services, including hard services (such as consumable items, office tools, supplies, and stationery and employees’ assets) and other people-related services, in order to support work processes and efficiency of related functions

YOUR RESPONSIBILITIES

  • Ensure understanding of administration policy, procedures and activities, in order to understand tasks needed to be carried out, including documentation filing process and system for storage and back up, according to function’s policies and frameworks, as well as to ensure alignment and compliance with legal regulations and with Telenor Group’s overall direction, standards and governance
  • Perform key activities in arrangement of administrative support services (for example, arrangement of consumable items, office tools, supplies, stationery, employee’s assets) to ensure smoothness in workflow of different functions within the organization
  • Perform key travel desk activities, including the arrangement of documentations related to the transportation, accommodation, and other necessary arrangments for travelling, in order to ensure for convenience of employees as well as the availability of relevant documents needed for travelling
  • Perform key internal and external courier service process includes managing schedule for document or parcel delivery, maintaining tracking system to ensure that the company’s documents and parcels are delivered safely and on a timely manner
  • Perform key transportation service activities includes maintenances of vehicles, and monitor validity and availability of driving licenses of drivers in order to ensure compliance with rules and regulations
  • Support key administrative works (including enabling roles for Internal Communication, Learning Center, HR Services, Facilities Management, or any relevant functions from headquarter) performed in regional centers, as well as coordination with other functions in the organization, to ensure that employees are efficiently served in all region across the country
  • Ensure quality of documentation filing process and system to maintain and ensure corporate central document storage and back up system integrity
  • Perform complex insurance payments and claim processes, in order to ensure that all payments are made accurately and in timely manner
  • Perform activities to track, monitor, evaluate and periodically review the overall processes of administration management, as well as the overall processes of coordinating guidelines to relevant functions, in order to identify improvement opportunities, to ensure optimization of the operation
  • Perform analysis on benchmarking organizations in order to adopt market best practices into organization
  • Collect feedbacks from relevant parties and perform analysis to ensure business and other requirements are met
  • Guide and assist, if needed, junior members in performing their tasks to ensure consistent understanding and ability to perform tasks
  • Review, if needed, assignment completed by junior members to ensure integrity and accuracy of work conducted
  • Identify and respond appropriately to patterned issues regarding corporate communication in order to ensure that current issues are efficiently dealt with to support operational excellence
  • Report all issues/variances with planned work to ensure any activities outside normal procedures are communicated in a timely and accurate manner
  • Contribute, if needed, to the implementation of small, low complexity strategic project, regarding supply chain management, which is simple and specific in nature, under guidance, in order to support senior members in reporting of performance
  • Learn to use professional concepts and company policies and procedures to solve patterned problemsBe accountable for other certain works as assigned from immediate superior level

QUALIFICATIONS

  • Any Bachelor’s Degree or higher
  • 3 to 5 years of experience of Supervisory role in administration function
  • Excellent communications skills with proficiency in both Myanmar and English
  • Ability to work well with minimum supervision under continuous pressure
  • Strategic thinking, Structured planning, strong analytical and coordination skills.
  • Strong Leadership Skills
  • Good communication skills, presentation skills and interpersonal skills
  • Be proactive with positive attitude and possess achievement orientation
  • Effective communications skills
